An enterprise AI front desk is not a larger self-serve chatbot. The organization must define who can configure it, what data it may use, which actions it can prepare, when a human takes over, and how every important event is audited.
What must be defined before the pilot?
Start with an explicit scope:
- business unit, countries, languages, and customer groups;
- supported questions and prohibited advice;
- identity provider, roles, and approval owners;
- knowledge sources, retention, deletion, and data residency;
- integrations, credentials, retry behavior, and failure isolation;
- support hours, incident ownership, and rollback;
- measurable accuracy, response, escalation, and adoption criteria.
If any item is described only as “enterprise-grade,” it is not yet a requirement. Convert the phrase into an artifact, a test, and an owner.
Which security evidence matters?
Procurement may request a DPA, sub-processor list, security architecture, access-control model, audit evidence, backup and recovery process, vulnerability handling, penetration-test evidence, or certifications.
Do not imply that a certification exists because a cloud provider has one. The vendor must distinguish current evidence from roadmap or contract-specific work.
How should the pilot be measured?
Build a representative question set with normal, ambiguous, adversarial, multilingual, and out-of-scope inputs. Measure supported-answer accuracy, unsupported-answer refusal, escalation correctness, latency, data leakage, duplicate actions, and recovery from dependency failure.
Business acceptance should also measure the quality of captured context and the reduction in repetitive work. A pilot that only shows a polished demo does not prove production readiness.
